New Wilmington Presbyterian Church, a Presbyterian Church (USA) congregation of approximately 300 members, invites applicants for the position of Administrative Assistant. The church is seeking a highly organized and conscientious Administrative Assistant to begin serving in this part-time role on or after May 19 weekdays in the church's office, located at 229 S. Job Description: Administrative Assistant at New Wilmington Presbyterian Church Position Title: Administrative Assistant Location: 229 S. Market Street, New Wilmington, PA 16142 Reports To: Pastor/Head of Staff Employment Type: Part-Time, In Office Job Summary: The Administrative Assistant will provide essential support to the church's pastor, staff, committees, and officers by ensuring effective communication and efficient operations and administrative processes. The role requires coordinating projects and completing general tasks that will allow the above mentioned specialists in the church community to focus on their ministries. Additionally, the Administrative Assistant will specialize in the communication and public relations functions on behalf of the church staff. Key Responsibilities: Administrative Support: Manage daily office operations, including answering phones and responding to emails and other inquiries sent to the church office. Greet visitors to the church during office hours and assist them as needed. Maintain church records, including membership directory, attendance logs, baptisms, marriages, and deaths. Order and maintain office, kitchen, and cleaning supplies, and update the literature racks and bulletin boards. Attend all staff meetings and ensure that bulletins and calendars are accurate. Scheduling and Coordination: Coordinate church events, meetings, and activities, including room reservations and resource allocation, by working with church staff and officers, including the trustees' designated church-use coordinator. Maintain the church's calendar and schedule contributors to church functions, such as worship services and community outreach, to prevent redundancies. Record Keeping and Clerical Support: Each month, ensure that committee chairs have submitted their agendas and meeting minutes. Each year, prepare the church's annual report by compiling reports submitted from committees, session, deacons, and trustees. Process invoices, donations, flower order forms, facility-use forms and other records in collaboration with the respective staff member or officer. Prepare documents and coordinate on- and off-site printing and duplicating requests. Communication and Public Relations: Serve as a point of contact for church members and the community, fostering positive relationships. Prepare and distribute church bulletins, and contribute to the church's weekly email newsletter, and other communication. Qualifications: Education and Experience: High school diploma required; associate's or bachelor's degree in office administration or a related field preferred. Previous experience in an administrative role, preferably in a church or nonprofit setting. Skills: Strong organizational and time management skills. Proficient in Microsoft Office Suite and familiarity with Google calendars, presentation software, and church management systems. Excellent written and verbal communication skills. Ability to maintain confidentiality and handle sensitive information. Personal Attributes: A commitment to the mission and values of the Presbyterian Church USA.
